January Data Updates

Year-End Reporting in Progress

  • The Data Department is finalizing 2025 data for the United Way of Greater St. Louis and the organization’s annual report.
  • Now is the time to position ourselves well for the new year—accuracy and timeliness are key!
  • Once 2025 data is finalized, no additional changes should be made to that data.

Data Integrity & Timely Actions

  • Client Closures: Close clients within 72 hours after services end.
  • Hub & SOP Clients: Maintain regular contact (in person or by phone). If a client has not been seen for a few weeks to a month, reach out and close them promptly if services are no longer needed.
  • Inactive Clients: Inactive clients for 2025 should be closed.
  • New Clients: Enter new clients as soon as possible after intake.
  • Duplicate Funders: Notify the Data Department immediately if funders are duplicated.
  • Assessments: Complete assessments every quarter for active clients and at discharge.
  • Discharge Summaries: Complete within 72 hours of discharge.
  • All services should be entered by the end of shift.
  • Indirect Contacts should be entered by the end of shift.

Clean data sets us up for reporting and compliance success in 2026. Thank you for your attention to these details and for ensuring accurate reporting for funders and stakeholders.

Requesting the Right Amount of PTO for Non-8-Hour Shifts

One of the most common timekeeping issues we see is PTO being entered incorrectly when an employee works a shift that is not 8 hours. This is especially important for our YDS and YLS team members, who often work 7- or 11-hour shifts.

To ensure your PTO balance stays accurate and that payroll is processed correctly, it is important to request the exact number of hours you were scheduled to work, not a default 8 hours.

This prevents over- or under-deduction of your PTO balance, helps avoid payroll corrections or delays, and ensures fairness and consistency across teams.

How to Request PTO for a Partial Day

When requesting PTO for a shift that is not 8 hours, please follow these steps:

  1. Log in to the payroll website.
  2. Select My Info.
  3. Click My Time Off Request.
  4. Under Time Off Type, select PTO.
  5. Click Start Request.
  6. Under Request Type, choose Partial Day Bulk.
  7. Enter the date you will need off.
  8. Under Total Hours, enter the number of hours you were scheduled to work.

A Helpful Reminder: Always double-check your scheduled shift before submitting your request. If you are unsure how many hours to enter, your supervisor or the HR team can help clarify before you submit.
